About the job
We are seeking a highly organized and motivated Seminar Administrative Coordinator to join our dynamic team and play a crucial role in the success of our vital importance seminars. This role will involve a diverse range of responsibilities, from managing administrative tasks and logistics to actively contributing to the overall seminar attendee experience.
Key Responsibilities:
Seminar Logistics:
- Manage seminar logistics, including scheduling, bookings, and Ermis portal arrangements.
- Coordinate travel and accommodation arrangements for instructors.
Seminar Materials:
- Prepare and distribute seminar materials (emails, certificates, etc.).
Participant Management:
- Maintain accurate records of participant registrations, attendance, and feedback.
- Respond to inquiries from prospective participants and provide information about seminars.
- Conduct follow-up calls and emails with interested individuals.
Office Administration:
- Manage office and administrative tasks.
- Provide general administrative support to the seminar team as needed.
Seminar Improvement:
- Contribute to the continuous improvement of seminar processes and procedures.
- Participate in team meetings and contribute to brainstorming sessions.
Qualifications:
- Proven experience in an administrative or office support role.
- Experience with seminar or event management.
- Experience with CRM software (e.g., Salesforce, HubSpot) is a plus.
- Experience in the education or training industry is preferred.
