About the Executive Assistant role:

We are looking to hire an organised and methodical Executive Assistant to perform administrative tasks required by our C-level executives such as our Group CEO and Deputy CEO; ultimately this role is to ensure that our C-level executives’ time is maximised by effectively managing their schedules to the highest standard. To be successful in this role you are required to have excellent organisational and communication skills, moreover a minimum of 5 years’ experience in a similar role.

Executive Assistant Responsibilities:

  • Effectively manage complex calendars, ensuring optimal scheduling of meetings, appointments and travel arrangements.
  • Prioritize and communicate schedule changes and updates promptly.
  • Serve as the primary point of contact between the executives and internal/external stakeholders.
  • Handle incoming calls, emails, and correspondence with professionalism and discretion
  • Arrange all aspects of travel, including flights, accommodations, transportation, and itineraries, with a focus on efficiency and cost-effectiveness.
  • Prepare travel briefs and ensure executives are well-prepared for trips.
  • Coordinate and prepare materials for meetings, including agendas, presentations and relevant documents.
  • Attend meetings, take accurate minutes and follow up on action items.
  • Maintain and organize critical documents, contracts, and reports, ensuring they are readily accessible and up-to-date.
  • Assist with drafting, proofreading, and formatting correspondence, reports, presentations, drafts, and templates as needed.
  • Handle sensitive and confidential information with the utmost discretion and integrity
  • Implement and maintain data security protocols for executive office.
  • Assist in managing special projects and initiatives, including research, data analysis and reporting.
  • Collaborate with cross-functional teams to ensure project deadlines are met.
  • Maintain a well-organized and efficient office environment, including inventory management and supply ordering.
  • Proactively identify opportunities for process improvements.
  • Help executives prioritize tasks and manage their time effectively to maximize productivity
  • Anticipate needs and proactively address issues before they arise.
  • Represent the executives and the company in a professional and courteous manner during interactions with clients, partners, and colleagues.

Executive Assistant Requirements:

  • Proven experience as an Executive Assistant for more than 5 years, preferably in the fintech or financial services industry.
  • Strong proficiency in office software, including Microsoft Office Suite.
  • Exceptional organizational and multitasking skills with keen attention to detail.
  • Excellent verbal and written communication skills in English.
  • Ability to work independently and under pressure, while maintaining a high level of discretion and confidentiality.
  • Adaptability and the ability to thrive in a fast-paced, ever-changing environment.
