Job Description
Your role at Exness:
For our growing HR team here in Cyprus, we are looking for an Immigration Specialist who will be responsible to assist with the visa processes and ensure a holistic & consultative support to the business on the current immigration landscape.
You will:
- Fully manage the Visa process and documentation needed for employees and their families (entry permits, temporally resident permits, visa renewals);
- Liaise with Migration agencies on Visa Application processing and ensure timelines are followed;
- Ensure employees understand visa requirements, process and stages;
- Consult employees and HR team on complex issues and proactively address the risks which can occur;
- Consult employees on the process, deadlines, and documents needed, collect documents, and ensure that employees get their documents in-time;
- Identify opportunities for continuous process improvement to ensure scalability and a high quality customer experience;
- Ensure that employees are informed regarding visa expiration and necessary documents to be collected;
- Work closely with TA team to ensure smooth onboarding/ Coordinate new-comers’ arriving schedule and overall relocation process;
- Update documents for new-comers (welcome letter, recommendation letter, list of documents for visa and employment);
- Information support and consulting of new-comers of from the moment they got a Job Offer till their first day in the Company (is in touch via Skype, e-mail, phone, send welcome letter, help to
- collect necessary documents, provide all necessary information and answer questions);
- Ensure final checkup that a new-comer has collected all necessary documents;
- Ensure all involved parties are informed about employees arrival prior start date (Office admins, IT admins) – necessary meeting requests are arranged;
- Coordinate transportation and accommodation for new-comers and their families in collaboration with the people in charge (Office Admin and or Office Manager);
- Ensure full compliance and governance with better processes and data controls;
- Work with BambooHR and all other HR systems, ensure the accuracy and relevance of the information and its proper usage;
The ideal candidate:
- Legal/Business Administration/HR degree;
- 2+ years immigration experience either in-house or with an immigration firm;
- Solid knowledge of MS Office, particularly Excel and Word;
- Fluent in English; Russian will be considered an advantage;
- Able to build positive relationships;
- Internal customer focus;
- Strong interpersonal and communication skills;
- Attention to detail/ data quality;
- Detail-oriented person that is willing to learn and grow;
- Positive, can-do attitude, excellent team player;
